As a Gratitude Gatherer, you are entrusted to collect patient Wambis for your organization, your role is critical in capturing the voices of patients and families, allowing providers to receive recognition in real time. You will make a difference in your organization by asking patients and families "Is there anyone who has been caring for you that you’d like to thank?"
NOTE
This user guide is specifically for users who only collect patient Wambis. If you are a leader or other Wambi user collecting Wambis, visit the Collect Wambis article for instructions.
Access the portal
There are a few ways that you can access the Wambi portal to collect Wambis from patients:
- Navigate to your organization's Wambi URL
- Select the I am a patient button under the sign-in box
- If prompted, select the location name where you are collecting Wambis and click Next
- You will see a page prompting you to get a code to begin:
- If this is your first time signing in, proceed to the sign up instructions
- If you are a returning user, start at Step 3 in Collect Wambis
- Navigate to your organization's Wambi URL
- Update the URL as follows: yourorg.wambiapp.com/portal
- If prompted, select the location name where you are collecting Wambis and click Next
- You will see a page prompting you to get a code to begin:
- If this is your first time signing in, proceed to the sign up instructions
- If you are a returning user, start at Step 3 in Collect Wambis
- From your smart phone, text your organization's Chatbot code to (616) 449-2624
- The first message you receive from the Chatbot (I am the Wambi Chatbot at [Your Organization's Name]! I can help you recognize one of our team members. Do you know the name of the person you would like to recognize? (Respond: YES or NO)
- Respond NO
- The Chatbot will respond with the organization's portal URL; click this URL to open the portal
- If prompted, select the location name where you are collecting Wambis and click Next
- If this is your first time signing in, proceed to the sign up instructions
- If you are a returning user, start at Step 5 in Collect Wambis
Sign up to collect patient Wambis
- From the page where you are prompted to enter a mobile number or email address, enter a phone number or email to receive a code
- Navigate to the device where you opted to receive the code; enter the code in the boxes provided, agree to the Terms and Conditions, and click Submit
- Click the menu on the top right of your page
- Select I'm a volunteer
- The Thank you for being a volunteer! prompt will appear; enter your first name and last name and then Register
That's it! You're now a registered user for your organization - you can now Collect Wambis!
TIP
You will only have to sign up once per organization, even if you collect Wambis for multiple locations or facilities! If you want to confirm that you're now signed in, head to your menu and you will see a Welcome, [Your First Name]! at the top of your menu!
Collect Wambis
- Access your organization's portal
- If prompted, select the location name where you are collecting Wambis
TIP
If you need to change locations after you have already selected a location, go to your menu and select Change Location.
- From the page where you are prompted to enter a mobile number or email address, enter the number or email you used to sign up
- Navigate to the device where you opted to receive the code; enter the code in the boxes provided and click Submit
- You will see the Who would you like to recognize? page and a "Welcome back!" message; click "Let's Go!" to close the message
- Ask the patient or family if there is anyone they want to thank and share your device. They can search by:
- Using the dropdown(s) to filter the results
- Using the smart search bar to search by name
- Have the patient select the team member they would like to thank and, if needed, select the location where they received care, then Begin
- The patient will be prompted to respond to questions about their experience with the team member
NOTE
If a patient answers any question with Okay, Poor, or Fair, they will be prompted to share what could have been done better
- The patient will then be prompted to share their appreciation directly with their care provider; if the patient shares a Wambi, it is shared directly with the team member and on the Wambi newsfeed in real-time
- When the patient sees the Grateful for you! page, their gratitude has been shared to the team member's profile! The patient can click Done to return to the Who would you like to recognize? page, or Donate a gift of gratitude to donate in gratitude for their great care!
When you are done collecting Wambis, open your menu and select Sign out.
Pro Tips
- Introduce yourself to the patient or family member, and let them know your organization has teamed up with Wambi to make it easy to share gratitude for their care providers.
- Reviews are anonymous — unless the patient chooses it not to be.
- When a patient is finished giving gratitude, point them to where they can find a Wambi QR code in their room or leave behind a recognition card so they can share appreciation for even more team members!
